What does managing Google reviews involve?
Four jobs: seeing new reviews, replying to them, getting more of them, and dealing with the ones that break the rules. Google gives you free tools for all four. Here is what each covers, and where Mekomi takes over.
| Job | Free with Google | With Mekomi |
|---|---|---|
| See new reviews | Turn on alerts for new reviews, then open each profile and select Read reviews. | Every connected profile in one inbox, checked for new reviews every 3 hours, unanswered reviews first. |
| Reply | Write each reply yourself on the profile. | A drafted reply for every review. 4 and 5 star replies can go out on their own once you allow it; the rest wait for you. |
| Get more reviews | A review link and QR code from your profile. | Nothing extra in the app: use Google's link or our free link and QR code generator. |
| Bad or fake reviews | Report a review, then track it and appeal in Google's review management tool. | A calm drafted reply that waits for your approval. Reporting stays with Google. |
When are Google's free tools enough?
For one business with a steady trickle of reviews, they usually are.
Google gives you the basics free. Turn on alerts for new reviews (Google lists them under Customer activity, and they can reach you by email, Search or Maps; see Manage your notifications). To answer, Google says to go to your Business Profile, select Read reviews, then Reply next to the review (Manage customer reviews). You have to verify your business before you can reply, and Google checks each reply against its content policies before it shows: usually within 10 minutes, sometimes up to 30 days.
If you run one location, get a few reviews a week and reply within a day or two, that is enough. You don't need review management software, ours included. Here is a weekly routine that covers it:
- Read every new review once a week, at least. Low ratings first, because they need the most careful reply.
- Reply to all of them, short ones included. A rating with no text still gets a one-line thank-you.
- Answer 1 to 3 star reviews within a day or two. Calm, specific, with a way to reach you offline: phone, email or a visit.
- Ask a few customers for a review. Send your review link after a job or show the QR code at the counter.
- Report only what breaks Google's rules. A review you disagree with isn't one of them.
The routine breaks down when the volume or the number of profiles grows: several locations, client profiles you manage for other businesses, reviews in more than one language, or weeks when nobody gets to it. That is the gap Mekomi fills.
Every review from every profile in one inbox
Connect your Google account and pick the profiles. The reviews already on them come in first; after that, Mekomi checks each profile for new reviews every 3 hours.
Sorted by what needs you
Replies that couldn't post come first, then reviews waiting for a reply, with 1 to 3 stars above 4 and 5 stars, newest first. Tabs split the list into Needs reply, Scheduled, Replied and All.
All businesses, or one
See every profile together, with the business name on each review, or switch to one business when you want to focus on it.
The numbers at the top
Your average Google rating and how it moved this month, how many reviews are waiting, how many replies went out this month (automatic and by you), and whether auto-reply is on.
In step with Google
A reply you post directly on Google shows up too, and that review moves to Replied. If a customer edits a review, any planned reply is cancelled and the review is handled again. A review in another language shows the customer's own words, with Google's translation one tap away.
Which replies go out on their own?
Only the ones you allow. Auto-reply is off until you switch it on for a business, and it needs a short setup first: at least 3 approved keywords and 6 approved replies in your reply bank.
- 4 and 5 star reviews can be answered automatically, during your opening hours on Google, up to a daily cap (10 in 24 hours by default; you can set 1 to 50)
- 1 to 3 star reviews always wait for you, with a drafted reply to edit and approve
- A 4 or 5 star review that mentions a problem waits for you too
- Older unanswered 4 and 5 star reviews are answered as well once you switch it on, newest first, within the daily cap
- One switch pauses every automatic reply across your account
How do you get more Google reviews?
Ask, every time, with a link that opens the review form. Google's own link and QR code are on your profile: select Read reviews, then Get more reviews. Google says review QR codes can only be made in a computer browser, not on a phone.
Mekomi doesn't send review requests by text or email. Our free generator, no signup needed, builds the link from your Place ID or Google's short link and turns it into a printable QR code. Ask everyone, not only the happy ones: Google's policy doesn't allow businesses to selectively solicit positive reviews, or to offer anything in return for one.
What can you do about bad or fake reviews?
Reply to every bad review. Report only the ones that break Google's rules.
Only Google removes reviews, and only ones that break its rules. Its prohibited and restricted content policy covers spam, conflicts of interest (a former employee, a competitor) and paid or incentivized reviews. In Google's words on reporting inappropriate reviews: "Do not report a review just because you disagree with it or dislike it."
When a review does break the rules, Google describes two steps:
- Report it from your profile. Select Read reviews, then the Report icon next to the review, pick a reason and select Send report. Google says evaluation typically takes several days.
- Track it in Google's review management tool. The Manage your Google Business reviews tool shows each report as Decision pending, Report reviewed (no policy violation), or Escalated. If Google finds no violation, you get one appeal, which can cover up to 10 reviews, and the result comes by email.
Whatever Google decides, reply. A calm, factual answer under an unfair review tells the next reader more than the review does. Mekomi drafts that reply and holds it for your approval; it doesn't report reviews for you. Our guides on removing Google reviews and spotting fake reviews go through each case.
Managing reviews for several locations or clients
This is where doing it by hand costs the most time: logging in to each profile, one after another.
Google lets an owner add managers to a profile, and Google says managers can respond to reviews. Each person signs in with their own Google Account, so nobody shares a password (Manage your Business Profile owners and managers). For larger businesses with multiple locations, Google points to its Business Profile Manager to manage profiles in bulk (Get started with Google Business Profile).
Mekomi works from that same access. Sign in with the Google account that owns or manages the profiles, pick the ones you want, and their reviews land in one inbox. Each business keeps its own auto-reply switch, daily cap and reply bank, so a dental practice and a pizzeria don't sound alike.
Starter is $35 a month for one profile. Pro starts at $62 a month for 10 profiles and goes up to 120. Every plan has every feature and starts with a 7-day free trial. If you run profiles for clients, see Mekomi for agencies.
What Mekomi doesn't do
Better to know before you start a trial.
- Google only: no Yelp, Facebook, Tripadvisor or other review sites
- No review requests by text or email, and no review widgets for your website
- No reporting or removing reviews: that stays in Google's own tools
- No email alerts for new reviews: open the inbox, or keep Google's own notifications on
- No sentiment reports: the inbox shows your rating, what is waiting and how many replies went out
FAQ
Common questions
Is there a free Google review management tool?
Yes. Your Business Profile lets you read and reply to reviews and share a review link, free. Google's review management tool, also free, lets you report reviews for removal and check the status of your reports.
Can Mekomi remove bad Google reviews?
No. Only Google removes reviews, and only ones that break its content policy. You report them through your profile or Google's review management tool. Mekomi drafts a calm reply to the review and waits for your approval.
Does Mekomi manage Yelp or Facebook reviews?
No. Mekomi works only with Google Business Profiles, so it shows and answers Google reviews only.
How fast do new reviews show up in Mekomi?
Mekomi checks every connected profile for new reviews every 3 hours. An automatic reply then goes out during your opening hours on Google, at least an hour after the review is processed.
Do I have to share my Google password?
No. You sign in with Google and Mekomi connects through Google's official Business Profile APIs. You can remove its access at any time from your Google account.
Will Mekomi reply to reviews I got before I signed up?
Yes, if they are still unanswered. When you connect, each unanswered review gets a drafted reply in your inbox. Once you switch auto-reply on, the older 4 and 5 star ones without a complaint can go out automatically, newest first, within your daily cap. Older 1 to 3 star reviews wait for you.
Can a manager reply to Google reviews instead of the owner?
Yes. Google says both owners and managers of a Business Profile can respond to reviews, each signed in with their own Google Account.
